Important things to know when editing an existing order

Checklist for Editing Orders

If a current order needs to be modified, please move it to the “edit” column in Pipedrive and let Mark know about the edit so he is aware of it. When moving the deal over to the “edit” column, you will see a checklist pop-up that is as follows:

  1. [Making the change in Shopify] If you are going to make a change in a customer’s invoice, you will want to start the process in Shopify. You will go under “edit” on the order and make the proper adjustments for the customer. If your customer wants to change the color of the cabinets, you will enter it as a line item stating the new colors that he wants and put today’s date. Adding the date will let us know when the change was made. After you have added it as a line item, you will Update the invoice and send a copy over to the customer. If your edit requieres a refund, you will go to "refund" and include reason for the refund which can be found at the bottom of the page.
  2. [Print the updated invoice] You will print the updated invoice and hand it over to Mark. Mark does not get a notification if a change has been made to an order. That is why it’s important to print this out and give it to Mark.
  3. [Modify and Rename Design] Update the customers design in the design tool by modifying it and renaming the design to today’s date so we know when the change in the invoice happened.
  4. [Copy new design URL to Pipedrive] Copy and paste the design’s new URL to the deal in Pipedrive under “Design Tool Save URL”. This will help Mark find the correct design to reference back to.
  5. [Add the new design name under “order processing details”] Under the “order processing details” you will add the name of the updated design. You will not delete the name of the design that it was bought under originally. This will help everyone know what design they purchased and that it was modified at a later date.
  6. [Add notes under Accounting Notes] If the dollar amount of the sale changed after the update, you will make a note under “accounting Notes” indicating the original amount paid, they amount that they paid after the change and the total final sale amount.
  7. [Repeat steps 5 & 6 on the "Copy" deal in Pipedrive]
  8. [Flag the order as “Order Change”] In Pipedrive, right next to the name of the deal, you will see a symbol that looks like a price tag. Click on that icon and select the blue banner that says, “order change”. This will alert Mark that something has changed in the order, and it needs his attention.
  9. [Moving the deal back to P2] If the order has moved passed P2 in Pipedrive, you will want to put it back to P2 so Mark can see the blue flag that has been put on the deal.

No further action will be needed on your part.
